Legal Assistant - TN Board of Professional Responsibility

Under the supervision of the Executive Secretary and the Director of Operations, the Legal Assistant is responsible for administrative assistance work of average difficulty and for assisting the Executive Secretary.

EXAMPLES OF DUTIES AND RESPONSIBILITIES:

  • TimeSolv - Set up new files for billing in TimeSolv, generate cost bills when requested by Disciplinary Counsel, and set up new ledger sheets to hold in Orders Pending until receipt of a filed Court Order.
  • Maintain a list of Orders pending and Accounts Receivable for cost bill accounts in Excel.
  • After receipt of the Order filed by the Court, prepare a cover letter to send to respondent with a copy of the cost bill and move the file to the new A/R list.
  • Reconcile the monthly revenue report from the AOC with our revenue posted in QuickBooks.
  • Assist the Executive Secretary as she directs.  Responsibilities include prepare and distribute correspondence, review official court decisions and complete ABA forms, assist in preparing for quarterly Board meetings, audit and maintain open Board files, and prepare closed Board files for scanning.
  • Schedule Board hearings; schedule court reporters; book locations
  • Serve as backup Cashier to post payments into the Edison/iNovah system, prepare the deposit slip, maintain the deposit Drop-Off Log, and post the deposit in QuickBooks.
  • Assist co-workers with various duties as needed – i.e. copy jobs, log discovery, draft letters and petition notifications, create contact spreadsheets, etc.

MINIMUM EDUCATION/EXPERIENCE: Graduation from an accredited high school and experience equivalent to three (3) years increasingly responsible full-time legal assistant work or substitution of qualifying education for experience at an accredited college, business school or technical institute in paralegal, secretarial science or business area of study.

SKILLS AND ABILITY: Proficiency in Microsoft Outlook, Word, Excel and Internet Explorer; accurate and efficient data entry skills; detail oriented; ability to multi-task and prioritize work according to general deadlines; and knowledge of standard office equipment.

Candidates who are selected as finalists will be asked to complete several tasks to demonstrate competency and skill.
